Square POS stock control integration
If your restaurant, bar, café or hotel takes payments on Square, FoxEra can read those sales directly. Every dish and drink you ring through is turned into the ingredients it actually used, so your stock levels and gross profit move with the till instead of waiting for a weekly spreadsheet.
What syncs from Square
FoxEra connects to Square's API and pulls two things: your item catalogue and your completed sales. The catalogue arrives as POS products, so you can see every item Square knows about without retyping it.
Each sale line is matched to a FoxEra recipe through its PLU (the item code). When a mapped item sells, the recipe's ingredients are deducted from stock in their base units — grams, millilitres or each — and the sale is recorded against the recipe's cost. That is what feeds the theoretical versus actual gross-profit report.
- Item catalogue → POS products in FoxEra
- Completed sales → stock deductions via your recipes
- Sales value and recipe cost → gross profit by dish and category
- Each Square transaction is written once, so a retry never double-counts
How to connect Square
Go to Settings → POS integrations, choose Square and add your Square access token. FoxEra tests the connection before saving it. Then open POS products and link each Square item to the recipe it represents — a burger to the burger recipe, a pint to the keg it pours from.
Sales sync automatically once a day, and you can run a sync whenever you want fresh numbers. Unmapped items are flagged so nothing quietly falls through the gaps.
Why it matters for gross profit
Most venues know their takings to the penny and their cost of sales only once a month, after a stocktake. With sales flowing in from the till and deliveries landing from invoices, FoxEra can show what you should have used against what you actually counted — in money, not just units — while there is still time to act on a portion size or a price rise.
Frequently asked questions
- Does FoxEra integrate with Square?
- Yes. FoxEra has a direct Square integration that syncs your item catalogue and completed sales. Mapped sales deduct stock through your recipes automatically.
- Do I need to map every Square item?
- Only the items you want to deduct stock. Unmapped items are listed so you can link them to a recipe when you are ready; until then they do not move stock.
- How often do Square sales sync?
- Automatically once a day, plus whenever you run a manual sync from Settings → POS integrations.
- What does the Square integration cost?
- FoxEra's core stock control is free. Automated integration runs use credits from your wallet, as listed on the pricing page. New organisations start with a credit balance.
