Xero integration for restaurant inventory

Your deliveries are already in FoxEra — supplier, invoice number, date, quantities and the ex-VAT prices you checked in. There is no reason to type them into Xero a second time. FoxEra turns them into a bills file that Xero's own import understands.

What you can do with Xero today

Open Settings → Accounting, pick a date range and download the Xero bills CSV. You get one bill per received delivery and one row per delivery line: supplier, invoice number, delivery date, description, quantity and the ex-VAT unit price you recorded. The columns follow Xero's Import bills template, with your default account code and tax type filled in.

In Xero, go to Bills to pay → Import, upload the file and review the bills before you approve them. Your accountant keeps control of coding and approval; your team stops retyping invoices.

  • One bill per received delivery
  • Supplier, invoice number and dates carried across
  • Ex-VAT line prices, matching what you checked in
  • Dates in UK format (dd/mm/yyyy)

Live Xero sync: coming soon

We are building a direct connection that sends bills to Xero as drafts without a file in between, with a guard so the same delivery can never be sent twice. It is not switched on for customers yet. Until it is, the CSV export does the same job in two clicks.

Why export from stock, not from paper

When the bill in Xero comes from the delivery you received in FoxEra, your stock value and your accounts agree. Short deliveries, substitutions and price changes are caught at the door rather than discovered at month end.

Frequently asked questions

Does FoxEra integrate with Xero?
Yes, through a Xero-ready supplier bills CSV that you import in Xero under Bills to pay → Import. A live, direct Xero sync is in development and not yet available.
Which deliveries are included in the export?
Received deliveries within the date range you choose. Each becomes one bill, with one line per delivery line.
Are prices exported with or without VAT?
Without. Line amounts are the ex-VAT unit prices recorded on the delivery, with your default tax type applied so Xero calculates VAT on import.
Can I send sales to Xero?
Not today. The export covers supplier bills from deliveries. Sales usually reach Xero from your till or payment provider.
